Billable Hourly Rate Calculator

Enter your annual income target, business expenses, total working hours per year, and a utilization rate, to calculate the hourly rate you need to bill to cover both. The formula, every assumption, and intermediate values are shown alongside the result.

The take-home pay or profit you want to earn in a year, before business expenses.

Software, insurance, equipment, office costs, and any other yearly business overhead.

All hours you work in a year, billable and non-billable (e.g. 40 hrs/week × 50 weeks = 2,000).

Percentage of working hours that are actually billable to clients, after admin, sales, and unpaid time.

How to calculate your billable hourly rate

  1. Enter your Annual income target, Annual business expenses, Total working hours per year, and Utilization rate (%).
  2. Choose a Currency symbol: $, €, £, ¥, or None. This changes only the displayed label; it does not convert the amounts.
  3. Click Calculate rate. The result section stays hidden until the entries pass validation and a calculation is completed.

Use the result controls

  • Click Copy result to copy the plain-text result. It uses the browser clipboard; if copying fails, the page shows Could not copy - select and copy manually.
  • Click Download result (.txt) to download the text result. The filename is billable-hourly-rate-calculator-result.txt.
  • Click Reset to clear all inputs, restore the currency symbol to $, hide errors, and hide the result.

How the calculation works

The calculator uses this formula:

Required rate = (Income target + Annual expenses) ÷ (Working hours per year × Utilization rate)

Total working hours per year includes billable and non-billable time. The utilization percentage estimates the share that is billable; the script converts it to a decimal before calculating Billable hours per year. The result shows the required rate, billable hours, total revenue required, and an assumptions table.

Validation and displayed values

The calculator accepts an income target and annual expenses of 0 or more, working hours greater than 0, and a utilization rate greater than 0 and up to 100. Invalid entries stop the calculation and show an error instead of a valid result.

Calculations use the entered numeric values. Displayed money is formatted to two decimal places, while other displayed numbers use at most two decimal places.

Limitations and calculation behavior

This tool performs a calculation from the values entered in its form. It does not provide market-rate data, pricing advice, industry benchmarks, competitor pricing, or external financial records. It also does not model unpaid invoices, seasonal demand, client negotiation, or tax liability beyond amounts you include in the inputs.

The calculation script processes the entered values in the browser and does not request live rate data. The page also loads external analytics and tag-manager assets; this local inspection cannot establish how those assets handle form values.

Frequently Asked Questions

What is a billable hourly rate?

A billable hourly rate is the amount you charge clients for each hour of work you invoice. To be sustainable, it needs to cover not just your desired income, but also your business expenses, spread across only the hours you can actually bill - not every hour you work.

What does "utilization rate" mean?

Utilization rate is the percentage of your total working hours that are actually billable to clients. It accounts for time spent on admin, sales, marketing, training, vacation, and other non-billable activities. A freelancer working 2,000 hours a year with a 70% utilization rate can only bill 1,400 of those hours.

Why include business expenses in the calculation?

If your billable rate only covers your desired take-home income, your expenses (software, insurance, equipment, office costs, taxes set aside, etc.) will eat into that income. Adding expenses to the income target before dividing by billable hours ensures the rate covers both.

Does this tool fetch market rate data or give personalized pricing advice?

No. It performs a single, transparent calculation using only the numbers you type in - your income target, expenses, working hours, and utilization rate. It does not fetch market rates, industry benchmarks, or competitor pricing, and it is not personalized financial or business advice.

How do I estimate my utilization rate if I don't track it?

The calculator does not set a recommended utilization percentage. If you track your hours, divide the hours you actually invoiced by your total working hours to get a figure to enter. Include time spent on non-billable work when determining your total working hours.
