How to Use the Email List Cleaner

Use the cleaner to turn a pasted or uploaded list into a normalized, unique list and separate review tables.

  1. Paste addresses into the text box, or drop a TXT, CSV, or TSV file into the drop area. You can also select browse files. Entries may be separated by newlines, commas, semicolons, or tabs.
  2. Choose the optional cleaning rules; the results update automatically.
  3. Review the counts, the Clean list, and any Duplicates removed or Malformed - needs review tables.
  4. Use the available output controls, then change or remove the input to remove the input and hide the workspace.

Choose the Cleaning Rules

Use Casing to lowercase the whole address, lowercase only domains, or preserve supplied casing. Enable display-name extraction for entries such as Jane Doe <[email protected]>. Remove plus-tags when campaign or routing tags should not create separate records, and use the Gmail / Googlemail dot option when dot variants should match.

How Entries Are Processed

Entries are trimmed, and blank or whitespace-only entries are filtered out before validation. The selected rules are applied before a practical format check classifies each non-empty entry.

Malformed entries are classified before duplicate detection, so only well-formed normalized addresses can become duplicates. The first occurrence is kept in the clean list; later matching occurrences appear under Duplicates removed. Duplicate matching remains case-insensitive even when casing is preserved in the output.

Review and Export the Results

Clean list is newline-separated. It supports Copy, Export TXT, and Export CSV; the CSV includes an email header.

Duplicates removed shows Original entry and Normalized (already kept). Malformed - needs review shows Original entry and Reason. Both sections are hidden when their count is zero and support Export CSV only.

What the Format Check Does Not Confirm

The tool checks address format only. It does not perform DNS/MX lookups, verify deliverability, or confirm that a mailbox exists.

Local Browser Processing

The page processes the supplied list in the browser using its client-side implementation.

Frequently Asked Questions

How is this different from an Email Validator?

An email validator checks whether a single address is well-formed or deliverable. This tool is a list-cleaning workflow: it normalizes an entire list, removes duplicates, and sets aside malformed entries for review, so you're left with a clean, unique list plus separate lists to inspect.

What counts as a duplicate?

Two entries are duplicates if they are identical once whitespace is stripped and the address is lowercased. For example, [email protected] and [email protected] are treated as the same address; only the first occurrence is kept in the clean list.

What counts as malformed?

Non-empty entries that don't match a valid email shape - missing @, missing domain, no dot in the domain, multiple @ symbols, or invalid characters - are pulled into a separate malformed list with a short reason. Blank entries are filtered out earlier.

Does this check whether the email actually exists?

No. This tool only checks format and cleans the list structurally; it does not perform DNS/MX lookups or verify deliverability.
